How we handle personal information — both for visitors to this website and for people who reach our clients through the AI services we build.

Who we are
Alera Digital LLC is a Hawaii limited liability company. We build AI receptionists, chatbots, and related marketing services for small and medium businesses.

Two different roles
It matters which situation you're in, because our responsibilities differ.
When you contact us directly — through this website, by email, or by phone — we decide how your information is used. This policy governs that.
When you contact one of our clients and an AI receptionist or chatbot we built answers, that business decides why your information is collected and how long it's kept. We handle the information on their behalf, under contract. Their own privacy policy governs your relationship with them, and requests about your data are best directed to that business — though you can always contact us and we will help route it.
Information we collect
When you use this website
- What you submit in our contact form — your name, email address, company name, an optional budget range, and whatever you write in the message field.
- Standard server records — our hosting provider logs IP addresses, browser type, and pages requested. This is ordinary web-server activity used to keep the site running and secure.
- Search performance data — we use Google Search Console, which reports aggregate, anonymized search terms and click counts. It does not identify individual visitors.
This site does not currently use advertising cookies or third-party tracking pixels. If that changes, we will update this policy and, where required, ask for your consent first.
When you interact with an AI receptionist or chatbot we built
- Contact details you provide — typically your name, phone number, and email address.
- The content of the conversation — what you say or type, including any details you volunteer about your enquiry.
- Call metadata — the phone number you called from, the time, and how long the call lasted.
- Recordings and transcripts — phone calls may be recorded and converted to text so the business can review the enquiry and follow up.
About call recording. Where calls are recorded, the AI states this at the start of the call so you know before you continue. If you would prefer not to be recorded, you can end the call and contact the business another way, or ask to be transferred to a person.
How we use information
- To reply to enquiries and provide the services we've been asked to provide.
- To pass qualified enquiries to the business you were trying to reach.
- To operate, secure, and improve our services — including reviewing conversations to correct mistakes an AI agent made.
- To send invoices and handle billing.
- To meet legal, tax, and accounting obligations.
We do not sell personal information. We do not share it with anyone for their own marketing purposes.
Companies that process data for us
We use established service providers to run our business. They may handle personal information on our behalf, and only for the purposes we've instructed:
- Netlify — hosts this website and keeps server logs.
- Google Workspace — our business email.
- FormSubmit — delivers this site's contact form submissions to our inbox.
- GoHighLevel — powers the AI receptionist and chatbot services, and stores the resulting contact records, conversations, and transcripts.
- Stripe — processes client payments. We do not see or store full card numbers.
Cookies and tracking
This website sets no cookies and runs no advertising or analytics trackers. There is nothing to accept or decline, which is why you won't see a cookie banner here.
Two things are worth naming for completeness. Our hosting provider keeps standard server logs, as described above. And the site loads a small number of open-source animation libraries from public content delivery networks (cdnjs and jsDelivr), which means those networks can see the IP address of visitors requesting them — the same as any website loading a shared library.
If we add analytics or advertising tools in future, we will update this section before turning them on, and add a consent banner where the law requires one.
State privacy rights
Some states — California, Colorado, Connecticut, Virginia and others — give residents specific rights over their personal information. Depending on your state, these can include the right to know what we hold, to get a copy, to correct it, to have it deleted, and to opt out of its sale or of targeted advertising.
We do not sell personal information, and we do not use it for targeted advertising — so there is nothing for you to opt out of. We also don't use your information to make automated decisions that produce legal effects for you.
California's "Shine the Light" law (Civil Code §1798.83) lets California residents ask whether we shared personal information with third parties for their own direct marketing. We don't, and never have.
To exercise any of these rights, email contact@aleradigital.com. We may need to confirm your identity before acting, and we will not discriminate against you for asking.
How long we keep it
We keep information only as long as we need it for the purpose it was collected, or as long as the law requires.
- Enquiries to us — kept while we're in contact and for a reasonable period afterwards, in case you get back in touch.
- Client business records — kept for the length of the engagement and afterwards as long as tax and accounting rules require.
- Call recordings, transcripts, and chat logs — retained on behalf of the client business according to the retention period agreed with them, then deleted.
Security
We use reputable providers, keep access limited to people who need it, protect accounts with strong authentication, and use encrypted connections throughout. No system is perfectly secure, but we take this seriously — the information we handle belongs to other people's customers, and we treat it that way.
Your choices
Depending on where you live, you may have the right to ask us to give you a copy of the personal information we hold about you, correct it if it's wrong, delete it, or stop using it for certain purposes. You can also unsubscribe from any marketing email using the link in that email.
To make a request, email contact@aleradigital.com. We'll respond within a reasonable time and won't treat you differently for asking. If your request concerns data we hold for one of our clients, we'll pass it to them and help them respond.
Children
Our services are built for businesses and are not directed at children under 13. We don't knowingly collect their information. If you believe a child has given us personal information, email us and we'll delete it.
Changes to this policy
We'll update this page when our practices change, and revise the date at the top. Significant changes will be flagged clearly on this page.
